1. Purpose of Data Processing

Visitors to our website may choose to provide information in order for Food Policy Pathways to contact them with further information about our organization. 


2. How We Get Data

There are two ways that we receive data from a visitor to our website:

  1. Information that is automatically collected. This information is collected by our third-party host, Squarespace and is used as part of our agreement with them as our website host. Food Policy Pathways has disabled all of the tracking that we can on our end. 

  2. Information that a visitor provides through our website’s forms.

Food Policy Pathways does not purchase data of any type. 


3. Data We Process

The categories of data that we collect are outlined in the table below. The table is organized into four parts: 

  • Category: This tells the type of data that we are collecting

  • Direct/Indirect: There are generally two ways that the data collected in each category are associated with a person, either directly or indirectly. Directly related means that the data collected, by itself, can identify you as an individual. Indirectly related means that the data collected are related to you as an individual but would only be able to be connected to you if other direct identifiers were also present. 

  • Description: Details regarding the category of data collected are provided.

  • Purpose: An explanation as to the reason why we need to collect this data is provided.


Category: Directory

Data Type: Direct

Description: Name and email address. 

Purpose: In the event that a visitor to our website reaches out and requests additional information or to be contacted by us, we will use this data to complete that purpose. 


Category: Website Performance

Data Type: Indirect

Description: 

  1. IP Address

  2. Pageviews 

  3. Visits 

  4. Unique Visitors 

  5. Traffic Sources 

  6. Geography 

  7. Engagement Metrics This includes time spent on pages, bounce rates, and button clicks.

All of these website performance categories are collected, processed and stored by our third-party hosting contractor, Squarespace. Their privacy documentation can be found here

Purpose: Information is collected by our website hosting service, Squarespace. This information is provided using IP addresses to determine overall aggregate analysis of website performance. As mentioned in section 2 of this document, all data collection in this category is minimized as Food Policy Pathways does not utilize these data. 




4. Legal Basis for Data Processing
Food Policy Pathway’s website requests your consent for the use of any personal information that is directly connected to you (as outlined above). By visiting the website and navigating its contents you are providing Food Policy Pathways with a legitimate business interest to process indirect personal data so that you can make use of our website. As noted in section 2, steps have been taken to minimize this indirect data collection. 

We want to ensure that the individual who is using our website can legally consent to its use. While our website does not pose any known harm to anyone under the age of 18, for consumer use, we are only intending to reach those of ages 18 and older. 

Additionally, Food Policy Pathways will not share data with any non-contracted third party except for the following circumstances: court order, subpoena or as otherwise compelled by law. 



5. Location of the Data 

Data that is processed on our website is collected and stored using Squarespace. This data is stored in the United States of America. Links to the privacy policy notices can be found in section 3 (Data We Process) above.


6. Use of Data After Processing

Data collected through our website’s forms is stored for a period no longer than one year after collection. This data is not:

  • sold to any individual or entity

  • in any type of sales activity where data sets are sold to us or that we are under contract to process data on behalf of a third party.

 



7. Rights of the Individual
Individuals whose data are processed by Food Policy Pathways have the following rights related to protecting personal information:

  • Right to Know: The individual has a right to know how their data is collected, used, and stored.

  • Right to File Complaint: Individual may file a complaint about concerns related to how data is being processed. 

  • Right to Access: Individuals have a right to access information about data being stored about them. 

  • Right to Data Portability: All requests to access data by an individual and are approved per legal requirements will be provided through a common data format. These formats will either be a comma-separated values file or a PDF document. 

  • Right to be Forgotten: An individual may request that their individual data, contained held by Food Policy Pathways, is erased. A request for an eraser will be reviewed, and a decision communicated to the requestor as required by law.

1. Purpose of Data Processing

As part of our mentorship program, Food Policy Pathways collects information in order to connect mentees with mentors in food policy. 


2. How We Get Data

We receive information from both interested mentors and candidates interested in becoming mentees.


3. Data We Process

The categories of data that we collect are outlined in the table below. The table is organized into four parts: 

  • Category: This tells the type of data that we are collecting

Description: Name, email address, physical address, phone number

Purpose: In order to respond to those interested in becoming mentors or applying to become a mentee candidate, we need information regarding identity, location, and means of contacting the individual. 


Category: Biographical

Data Type: Direct

Description: Work history, accomplishments/interests in food policy, education level

Purpose:  Biographical information is used to connect mentees with mentors that are most aligned to the interests of both parties. Additionally, this information is used in our vetting process to make sure that our mentorship program is the best match for the mentor or mentee that is showing interest. 


Category: Third-Party

Data Type: Indirect

Description: We utilize the application Airtable to collect and store all information associated with the processing outlined in this policy notice. Please refer to AirTable’s Privacy Policy Notice for additional information. In short, AirTable does not have direct access or knowledge of the direct data categories that are identified in this privacy policy notice. 

Purpose: AirTable is being utilized to securely collect personal data in relation to our mentorship program.


Category: Website Performance

Data Type: Indirect

Description: Our mentor and mentee information pages and applications are located on our website foodpolicypathways.org. Although no direct information is collected on a person’s identity when they visit our website, indirect information is collected and is outlined in our website privacy policy notice. 

Purpose: There is no attempt to merge personal data collected through our website with the processing activities outlined in this notice.  


4. Legal Basis for Data Processing
Food Policy Pathways requests your consent for the collection and use of personal information that is directly connected to you (as outlined above). Included in the required fields used in our online mentorship program forms, we request your consent to collect the information and to process it for the purposes of facilitating the mentorship program. 


We only intend to accept applications from those ages 18 and older. Any suspicion to the receipt of data from someone under the age of 18 will result in the deletion of that data. 


Food Policy Pathways will not share data with any non-contracted third party except for the following circumstances: court order, subpoena or as otherwise compelled by law. 


As noted in section 6 of this policy notice, we do not purchase or sell any data. 



5. Location of the Data 

Data that is processed pertaining to our mentorship program is collected and stored using AirTable. This data is stored in the United States of America. Links to the privacy policy notice for AirTable can be found in section 3 (Data We Process) above.


6. Use of Data After Processing

Data collected through our mentorship program forms is continually used while the mentor/mentee are active in our programs. When either a mentor or mentee becomes inactive in our program, we store the information collected for a period of no more than five years. The purpose for this retention is to eliminate the need for collecting this information again given that many of our inactive mentors will volunteer again shortly after becoming inactive and those who are mentees often become mentors at some point within this five-year window. 



This data is not:

  • sold to any individual or entity

  • in any type of sales activity where data sets are sold to us or that we are under contract to process data on behalf of a third party.
